Writing a quote as a contractor: from job survey to signed quote

· updated · Nicolaas Sterenborg, BorgAI

A quote for a job costs most contractors an evening: working out measurements, looking up prices, putting it all in a document and hoping the client signs. In BorgAI it is one flow. You survey the job, the quote is priced with your own rates and the client signs on their phone. Here is how that goes.

How do you keep all your jobs on one project board?

Every job gets a card on one board, from request to done. On the card you see who is on it, the deadline, the tasks and the comments. The board won't let you skip a column: dragging a job from request straight to approved is refused, with an explanation.

Above every project is the project journey with the next step. Ask "where are we with De Vries?" or "what's on my board this week?" and you get an answer straight away. Your crew sees on the team board what is waiting for them. Read more about the tools for the work itself under execution and handover.

In which ways can you survey a job?

In five ways, because a job doesn't always come in the same way. You survey it yourself in the chat or on site, you draw the room, your client fills it in on your own website, or you import a document. They all end up on the same card.

  • In the chat. Type who, where and what kind of work. The agent gets a card ready with client, address, rooms and work. Whatever is still missing lights up.
  • On site. Enter the measurements per room, for example 4 by 3 metres, and the area is calculated live. What you enter is kept when you reload the page.
  • With the room planner. Place doors, windows and objects in a drawn room, and your drawing is kept.
  • Through the client form on your own site. Your client fills in what they want done, with measurements and a photo. The address fills itself in from the Dutch land registry (Kadaster).
  • From a document. It reads a receipt or a PDF, you approve it.

What the client fills in ends up on the same card as what you survey yourself. You don't have to retype anything.

How do you price a quote from your own rates?

You price with your own hourly rate and your own material prices. A quote consists of sections with lines, and you make a line optional or give it a discount. To the right of the editor you see live what the quote looks like for the client.

The client opens a link and signs on their phone. If they switch off an option, the amount drops with it, and they get exactly that amount on the signed quote, with a PDF. The signed quote becomes the contract and later the invoice, for the same amount. Want to know more about the tools for pricing? Look under quotes and estimating.

What does the agent do here, and what do you do?

The agent takes over the typing: you dictate the measurements or say "get the quote for Pietersen ready", and it calculates with your prices. Anything that touches money or a signature comes with a confirm button. You check the quote and send it yourself. That way you know for sure that nothing goes out that you haven't seen. The app itself runs in Dutch; the agent answers you in English. Read how the agent does this in what BorgAI does.
