AI agent for contractors: how BorgAI takes over your paperwork

· updated · Nicolaas Sterenborg, BorgAI

The job is done, and that is when the paperwork starts. BorgAI is an AI agent for contractors that takes that work off your hands: you say what you did, and the work order, the hours, the quote or the schedule is ready. You check it and press confirm. Here is how it works.

What does an AI agent for contractors do?

An AI agent for contractors is an agent inside your own app that does your admin. At BorgAI, one agent runs all 30 tools: work order, hours, extra work, quote, contract, invoice, schedule, receipts and the Wkb file (the Dutch building quality dossier). You say what needs doing, the agent understands it and gets it ready. The app itself runs in Dutch; the agent answers you in English.

The difference with ordinary construction software: you don't hunt for the right screen and the right form yourself. You say "3 hours at Jansen, two men" and the hours land on the Jansen project. Every tool also works by hand in the dashboard, on your laptop and on your phone. What you do by hand and what the agent does end up in the same place.

How do you give the agent a task?

You give the agent a task in three ways: talk, type or fill in a form. On the scaffold you talk, at the office you type, and your client fills in the request page on your own site. The agent reads all three and pulls out what was said and what needs to happen.

A few sentences that work:

  • "Work order for Jansen, three hours, two men, sealant and tape."
  • "Bathroom 3 by 2.5, tiles up to 120 and plaster above that. Then the bedroom 4 by 3.5, all 2.60 high."
  • "Put Kees on Pietersen, task: order scaffolding for Friday."
  • "Where are we with De Vries?"

If the agent isn't sure about something, like a height of "24", it doesn't save it but asks. It asks one thing at a time, and it never asks again for what is already in the app. So a tiler doesn't get a question about the ceiling height.

Which work does the agent take off your hands?

The agent takes over the work you now do in the evening at the kitchen table. It surveys a job, prices a quote with your own rates, makes work orders and extra work orders, books hours, gets an invoice ready and updates the schedule. Those are the five groups of tools.

A job goes from recording through quote, signature and execution to the invoice, and every step hangs on the same project.STEP 01Record jobmeasurements and addressSTEP 02Quoteyour prices, PDFSignedonline or on siteSTEP 03Executionwork order and hoursInvoicerolls out of the projectOne projectthe whole job in one place
  • Pricing quotes. The agent calculates with your own hourly rate and material prices, puts rooms into sections and makes a line optional when you say so. More under quotes and estimating.
  • Dictating work orders and tracking hours. A spoken sentence becomes a work order that the client signs on their phone. Extra work is a photo plus one sentence. Everything about the work order app and time tracking.
  • Invoicing. A signed work order, extra work order or quote becomes the invoice, for the same amount. See invoices and payments.
  • Scheduling and handover. Every job is a card on the project board, from request to done. Receipts are read automatically and your photos become a Wkb file. See execution and handover.
  • Winning more jobs. Your client requests a job through your own page, and after handover the review engine asks for a review. See winning more jobs.

That puts your admin in one place. It saves searching, because the Dutch tax authority wants you to keep your records for seven years (Belastingdienst, in Dutch). For your accountant there is one export.

How does the agent know where a job stands?

The agent knows where you are in the process for each client, because it reads the real status from your quotes, contracts, schedule and invoices. At the top of every project is the project journey: request, survey, quote, contract, scheduling, execution, handover, invoice, paid and review. The current step lights up.

That way nothing gets done twice. If you make a second quote on a project that already has one, the agent first asks whether you really want that. After a quote it looks at your own earlier quotes: if you usually charged for sealing or skirting boards on similar work, it asks whether that applies here too. It never adds a line by itself and never changes an amount.

What does the agent never do without you?

The agent never sends anything that touches money or a signature by itself. Ask "send the quote for Jansen" and it calculates the amount, tells you what it comes to and puts a button on your screen. Only when you press that button does the quote go out. The same goes for an invoice and a contract.

What BorgAI does not do either: keep your books (your accountant gets an export). And there is no WhatsApp integration. The agent runs in your own app, in the browser on your phone and laptop. You install nothing.

How do you get started with BorgAI?

You start with a free trial account: all tools and the agent, for one user and five projects. You don't need payment details and there are no setup costs. In the first fifteen minutes you put your company in: your details, your trade, your prices, your branding and your terms.

The most important step is your price. You enter once what you want to earn per hour, and all tasks for your trade move with it. You can also do that in one sentence to the agent: "I want to earn €65 an hour". Want more users or projects? Check the prices.
