Bookkeepers

An AI employee for bookkeeping and accountancy firms

A bookkeeping firm loses its time not to bookkeeping but to chasing documents clients do not deliver. An AI employee does that chasing automatically: it asks each client for what is missing, follows up until it arrives and tracks who is still outstanding. It also sorts the inbox and answers the status questions that come back daily in season.

The work is in the waiting, not the booking

Ask any bookkeeper where their hours go and the answer is rarely "booking". It goes on chasing a missing bank statement, a receipt not submitted, a signature not yet given. That is a few minutes per client and hundreds of times a quarter per firm, and there is nothing creative or professional about it. Which is exactly why it automates well: the list of what you are missing is known, the client is known, and all that has to happen is politely keep asking until it arrives.

The peak is predictable, and that helps

Unlike a garage or a practice, volume in this trade is not daily but seasonal: VAT quarters, the filing period, the annual accounts. In those weeks email and calls triple, and that is precisely when there is no time to train a temp. An AI employee does not have that problem: it runs all year and simply keeps going through the peak. That is a different kind of argument than in sectors with constant volume, and for firms with a fixed headcount it is often the decisive one.

What the agent explicitly does not do

It finalises nothing, it files nothing and it gives no tax advice. What it does is preparation: read documents, propose the right ledger account, and queue the result for someone who knows. That line is not caution but practicality: a booking that turns out wrong costs more time to correct than it saved. The gain is in the preparation and the chasing, and that is large enough.

Where we would start

Email assistant

Reads your inbox, drafts the replies

Reads incoming mail, answers the recurring questions from your own knowledge base and forwards the rest to the right person with a short summary on top. Everything it writes lands in your inbox as a draft first; you hit send. Whatever proves itself often enough can go out automatically later.

Questions from this industry

Does this connect to Exact, Twinfield or Moneybird?

Yes, those are the packages we connect to most often. What we read and write we agree per firm: usually we read outstanding items and the client list, and write only draft entries. We check what is possible in your setup during the free scan before promising anything.

How do you stop clients feeling hounded?

By agreeing the rhythm and the tone with you, and by stopping the moment something arrives. The default is one friendly request, a reminder after a week, and after that a notification to you rather than to the client. You see per client what has been sent, and you can always take someone out.
