Phone, voicemail or follow-up: which role do you hire first?

What is the difference between a Phone Agent, a Voicemail Agent and a Follow-up agent?
A Voicemail Agent catches missed calls with a message, a Phone Agent answers the call live itself, and a Follow-up agent does the calling for you. At Van Borg Agency they cost €89, €349 and €299 per month respectively. Together they cover incoming, missed and outgoing phone traffic.
So they aren't three versions of the same product but three different gaps in your day. The call you miss while you're in a crawl space. The call you do answer but that pulls you off a roof. When do you choose a Voicemail Agent?
The Voicemail Agent is the cheapest way to never lose a call again. If you can't pick up or you decline, the caller automatically gets a WhatsApp under your company name within a minute: that you saw their call, when you'll ring back, and that they can already type what it's about. Photos welcome. Cost: €195 setup, €89 per month including 250 messages.
The good part is what happens next. If the caller replies, the conversation simply continues in WhatsApp — on their schedule, not yours. You see in two lines who called and why, while you're still on the job. No voice message you have to "get around to" listening to later.
What makes this such a good entry point isn't the technology but the threshold: you keep your own number, you install nothing, and you switch on one forwarding rule on your mobile. In practice this is the product businesses start with to find out whether this kind of automation suits them at all.
One thing to plan for: WhatsApp isn't a channel you can simply start broadcasting on. Meta has to verify your business and approve the message you send in advance. We handle that, but it's why this product needs one to two weeks rather than a couple of days — and why it does carry a setup fee.
When do you need a Phone Agent?
As soon as missed calls cost you revenue. The Phone Agent answers live, handles questions about rates and service area, recognises emergencies like a leak or a heating failure and transfers straight to the engineer on duty. It books appointments in your calendar and takes notes on every call. €595 setup, €349 per month including 400 call minutes.
The sum is usually quick: an emergency job in the installation trade easily runs from €300 to €800. One emergency a month that doesn't go to a competitor pays the subscription back three times over. After that it's €0.39 per minute.
Doesn't a Phone Agent sound like a robot?
Dutch voice AI matured in 2026: under 5% word errors and response times below 600 milliseconds. The voice sounds natural and the conversation flows without those telltale pauses. What callers mostly notice is that they don't hit voicemail but get helped straight away. That's what sticks, not the question of whether it was a human.
Does it answer every call, or only when I can't?
Your choice. Most businesses start with "overflow": the bot answers when nobody picks up within a few seconds, and outside working hours. If you like it, you let it answer everything and your team works uninterrupted. You set the emergency rules in advance: what counts as urgent, who's on call, and when.
What does a Follow-up agent actually do?
A Follow-up agent calls out under your company name: chasing quotes, announcing maintenance visits, confirming appointments and requesting reviews. It only calls people who are already customers or applicants; we deliberately don't do cold sales calls. €595 setup and €299 per month, including 300 call minutes of its own — separate from the Phone Agent.
Think of it as follow-up with a real conversation instead of a message: "Good afternoon, you received a quote from us last week. Shall I book you in?" For bigger jobs a call works markedly better than a message, it just never happens in practice — exactly the gap the Follow-up agent closes.
That we skip cold outreach isn't only a matter of taste. Since 1 July 2021 you may no longer call consumers or small businesses in the Netherlands with an unsolicited offer: that requires explicit prior consent, and the ACM enforces it. Calling back someone who requested a quote from you, confirming an appointment or announcing a maintenance visit isn't a sales call but service on a live enquiry. Which is exactly why the Follow-up agent only calls your own applicants and customers.
What does phone AI cost per month?
Phone AI at Van Borg Agency costs €195 to €595 one-off setup and €89 to €349 per month, excluding VAT. How fast is a Phone Agent live?
Allow one to two weeks, for all three. For the Phone Agent and the Follow-up agent that time goes into connecting them to your calendar, your number and your emergency rules. For the Voicemail Agent it sits elsewhere: Meta has to verify your business and approve your message, and there's no button we can press for that. You install nothing yourself: we build, connect and manage everything remotely, then improve the bot every month after that.
