What does AI do in your admin and invoicing?

AI in your admin reads receipts and purchase invoices — supplier, amount, VAT — and books them into your own accounting package. The other way round, a photo or voice memo of a work order becomes a draft invoice. You photograph or forward; the rest happens without you retyping anything.

The real problem isn't the booking

It is the postponing. Booking a receipt takes a minute; a shoebox in January takes a weekend and an annoyed bookkeeper. The difference is not the action but the timing: on the day itself you still know what that receipt was, three months later you don't. The same holds on the other side. An invoice that goes out the same week gets paid; an invoice that arrives two months later raises questions about whether the work was right. Automating here mostly means pulling the moment forward. You photograph the receipt in the car park, and it is booked before you get home.

What exactly gets read out

Supplier, date, amount, VAT rate and the VAT amount, plus the ledger account such an item normally goes to. It learns that last part from your own history: if you always book fuel to the same account, so does it. If it is unsure, it queues the item with a question attached rather than guessing — a wrongly booked VAT line costs more time than it saves. On the outgoing side it works the other way round: you dictate what you did and which materials went into it, or you send a photo of the work order, and out comes a draft invoice with your line items and rates. That too only goes out once you have seen it.

What it connects to, and what stays yours

To the accounting package you already use — Exact, e-Boekhouden, Moneybird and comparable packages all have a connection. If you have nothing yet, it can run through our own system, but that is the lesser of the two: your accountant knows your package and not ours. What stays yours either way is the responsibility and the oversight. The bot books, you and your bookkeeper check, and the tax return remains human work. That is not caution but law: you are liable for what your return says, and that doesn't change because a model suggested it.

Does this work with my accounting package?

With Exact, e-Boekhouden, Moneybird and comparable packages, yes — they all have a connection. If you use something else, we check during the free scan whether a connection exists. If you have nothing at all, it can run through our system, but that is the lesser choice: your accountant knows your package and not ours.

Who is responsible if something is booked wrongly?

You, together with your bookkeeper — which is why the bot books nothing it is unsure about. An item it can't place is queued with a question attached rather than guessed. The tax return stays human work: you are liable for what it says, and that doesn't change because a model suggested it.

Do I still need my bookkeeper?

Yes, and they will be happier for it. What falls away is the data entry and the chasing of missing receipts — exactly the part you pay them most for and enjoy least. What remains is what they are actually for: the checking, the tax return, the annual accounts and the advice on what to do with the numbers.
