# An AI receptionist for a physiotherapy practice

A physiotherapist cannot answer the phone mid-treatment. An AI receptionist can: it picks up, answers questions about cover and waiting times, books an intake in the calendar and sends a reminder before the appointment. For a solo practice that replaces the receptionist you never hired, for roughly a tenth of what one would cost.

## The figures

| What | How much | Source |
| --- | --- | --- |
| In the Netherlands | ±10,350 practices, two thirds solo | KNGF, Beroepsprofiel en marktdata fysiotherapie |
| What this work costs today | €1,300 to €2,100 per month | Indeed Salarissen Nederland 2026 |
| Missed calls at Dutch SMEs | 23% of all incoming calls | Voxori, onderzoek gemiste oproepen MKB |

## Why the phone goes unanswered here in particular

A physio practice runs in 25 or 30-minute blocks that are almost always full. During those blocks the therapist has their hands on a patient: picking up is not an option, and the caller gets voicemail. Two thirds of practices have no receptionist to catch that, and those that do usually have one for a few mornings a week. The result is not a missed conversation but a new patient calling the next practice on their list. With an average course of eight to twelve sessions, that is not a missed call but a missed patient.

## The questions that repeat every week

Cover is by far the most common question, and the answer depends on the supplementary policy, the number of sessions already claimed and whether there is a referral. Alongside that: can I come without a referral, how long is the waiting list, do you do pelvic floor or oedema therapy, is this covered if it is chronic. Those are not medical questions but administrative ones, and all of them can be answered from a properly built knowledge base. Anything that borders on the medical the agent recognises and hands to the practice rather than filling in itself.

## No-shows in a diary of quarter-hours

A missed half-hour appointment in a physio practice is revenue gone: the gap is too short to refill and the course of treatment slips. A reminder over WhatsApp or SMS, one day ahead and with the option to reschedule in the same message, removes a large part of that. The Reminder agent does this automatically and, on a cancellation, offers the freed slot to someone on the waiting list so the gap is filled the same day.

## What an AI employee takes over here

- **Phone Agent** — Answers while you are at the treatment table, and states the current waiting time.
- **Reminder agent** — Sends the appointment reminder that keeps no-shows from wrecking a diary of 25-minute slots.
- **Review agent** — Asks for a review after the final session, exactly when someone is happy.

## Where we would start

- **AI receptionist** — €795 setup + €495/mo: The entire front of your business in one rental: the phone is answered 24/7, the chat on your website answers questions and on WhatsApp the same agent picks up the conversation. It knows your rates and service area, records every enquiry's name, number and question, books appointments straight into your calendar and transfers urgent calls immediately. Miss a call yourself and the caller gets a message within a minute.

## Frequently asked questions

### Is an AI allowed to say anything about cover?

About the general rules, yes: how many sessions a policy covers, whether a referral is needed, what a chronic indication means. About one patient's individual policy, no, because the agent does not know that and should not guess. There it says it is not certain and hands the conversation to the practice. We configure that handover behaviour with you during the build.

### Does this work with Intramed or Fysiomanager?

We build the calendar connection per practice. If your software has an API or a calendar that syncs with Google or Outlook, the agent books straight into it. If not, it queues the appointment and the practice confirms with one click. We check what is possible in your case during the free scan; we never promise a connection we have not seen.
