# Which admin tasks can AI take over, and which it cannot

## Which admin tasks can AI take over?

Five kinds of work can be handed to AI reliably today: answering your inbox, reading and booking receipts and purchase invoices, putting enquiries into your CRM complete, sending reminders, and chasing unpaid invoices. ## Which admin tasks can AI not take over?

Anything containing a judgement you have to be able to defend. An AI employee does not book a receipt it is unsure about, does not set prices, does not file a tax return and does not deliver a medical, legal or fiscal opinion. It prepares; you and your accountant approve.

That is not caution but a hard line, and the law puts it on you as well:

Responsibility for those records does not move across to the software. So every module is built with a check step: the agent prepares, you approve, and only then does it go out or into the accounting package. For the email assistant that means drafts in your inbox rather than sent messages, until you say a category may go by itself.

What we also do not do: promise the agent replaces your accountant. It replaces the retyping, the sorting and the chasing.

## Which task do you hand over first?

Take the task that recurs most often and asks for the least judgement. For most businesses that is lead registration or receipt processing, not the inbox. Those two produce measurable results straight away, and within two weeks you can tell whether it is right without anything reaching a customer that you have not seen.

A practical order that tends to work:

1. **Lead connector** first, because every enquiry that goes missing costs money you never see again.
2. **Reminders** next, because no-shows and forgotten check-ups cost revenue directly. At dental practices no-shows run up to €35,000 per year per practice ([KNMT, state of oral care](https://www.knmt.nl)).
3. **Admin** third, once the volume of receipts structurally costs more than an hour a week.
4. **Email** last, because it is the task with the most judgement in it and therefore the longest tuning period.

## What does it save against an employee?

A back office employee in the Netherlands earns €2,840 gross per month on average, and with 30 to 40% employer overhead that costs an employer around €3,830. Two modules together cost €300 to €500 per month. The difference is not in what the work is worth, but in what it costs to get it done.

More important than that gap is usually availability. Plenty of small businesses have been looking for an administrative hire for months and cannot find one. ## How long before a module goes live?
